Shop-API

Shop-API is the open API of Rakuten. You can import and export product data and proceed orders and returns.

To connect external programmes you have to create an API key (API Schlüssel).

With our API you can

  • create, edit delete products (change price, stock etc.)
  • create, edit, delete categories
  • proceed orders

To create an API key you have to choose from the drop down menu "Software" the used software. If your software is not listed you have to choose Eigenentwicklung / andere Schnittstelle.

The you have to set the rights for the API usage:

  • products
  • orders
  • categories

Die rights you can set are:

  • no (keine) (no accessthe selected type is prohibited)
  • read (die Daten dürfen gelesen werden)
  • lesen & schreiben (es dürfen die Daten gelesen und zu Rakuten übertragen werden)

Google Analytics

Google Analytics can be connected with your Rakuten account. Just insert your Analytics account no in the the field Google Analytics Kontonummer.

You only need the UA- number of your analytics account for your Rakuten account (Rakuten shop).

You have to use this URI structure in Analytics to connect your Rakuten account with Analytics: https://www.rakuten.de/shops/MEINSHOP/

afterbuy

afterbuy can be connected through the afterbuy module.

You have the option to list your products through the afterbuy service.
Please note the following documentation for the afterbuy connect module.

  • Set up an account with afterbuy, if you have not already done so
  • Log into the afterbuy account
  • Allow Rakuten as a partner
    Settings> Basic Settings> Partner Settings
  • Create cancellation mark tradoria_stornierung under
    Settings> Handling Settings → Manage Markers
  • Switch to Rakuten Shop Administration and Connect! > afterbuy
  • Enter your afterbuy login data and activate the connection
  • Make settings for assortment matching

1. Introduction

Afterbuy enables central recording and processing of all product and sales data.

A clearly structured user interface with numerous sorting, filtering and search options ensures efficient work. Afterbuy can be used as a central tool for product management, shipping organization, delivery note and billing.

The Connect! Module for Afterbuy allows you to compare all products collected at Afterbuy as well as to process orders via Afterbuy.

The prerequisite is, of course, that you are already registered as a user at Afterbuy.
The resulting costs can be found in the tariff overview of Afterbuy.

2. Setup

Please note that the settings at Afterbuy must first be made in order to activate the connection to Rakuten.

2.1 Base settings at Afterbuy

Allow Rakuten as Partner

After logging in to Afterbuy, first enable the option to allow Rakuten as a partner. This setting can be found in the Management Center under "Settings> Basic Settings> Partner Settings".

Create a mark for canceled orders

Another important point is the clear marking of orders that were canceled at Rakuten.
To create the selection, call up the "Settings> Processing settings" in the Management Center. Follow the link "Manage markers" here. After you have displayed all the markers, you can create a new marker.

Please mark the following: Description: tradoria_cancellation
Color: freely selectable

2.2 Base settings at Rakuten

Login data

Call Connect in the shop management of your Rakuten shop module for Afterbuy about "Connect! > Afterbuy ".
All you have to do is tick "Connectivity active", enter your username and password for Afterbuy and then confirm your entries by clicking on the "accept" button.

Please note that login data must be always up to date.

Billing
When using Afterbuy for order processing, the invoices are usually created by Afterbuy. Automatic invoice creation at Rakuten has to be disabled. In your store administration, you can make the required setting under administration.
Please remove the checkbox "invoices should be automatically created by the system" and confirm the change by clicking on the button "save".

Please note that if this option is disabled, we will temporarily disable the "Purchase on Invoice" payment method for your Rakuten shop. This is due to the necessary changes to the invoices for orders. This is due to payment processing by Rakuten. How you can easily customize the invoices is explained in more detail under "5. Notes on customizing Invoice Documents". Please send us a sample invoice by fax or e-mail, so that we can check the correct implementation. We will then immediately release the payment method "Kauf auf Invoice" for your shop.

3. Additional settings at Rakuten

After activating the connection, you can set further settings in the Connect! Module Afterbuy for the transmission of order data and the assortment comparison.

3.1 Settings for the transfer of orders

Under "Order Transfer" you have the option of influencing the order data transferred by Rakuten to Afterbuy.

Email as user name to recognize:
If this option is enabled, we will pass the customer's email address as the customer number.
Please note that you may have to adjust the invoice creation in Afterbuy.

Name of the shipping method:
Here you can determine the name of the shipping method for orders from Germany that is passed to Afterbuy.

Name of the international shipping method:
Here you can determine the name of the international shipping method that is passed to Afterbuy for orders from abroad.

Payment method Prefix:
Here you can influence the payment method passed to Afterbuy. The text specified here is used to supplement the payment method and is preceded by it (e.g. Rakuten-[payment Method]).
Please confirm your entries by clicking on the button "apply" to save them.

3.2 Settings for assortment matching

Under "Assortment matching" (Sortimentsabgleich) you have the option of influencing the matching of the product and category data between Rakuten and Afterbuy.
In addition, it is possible to initiate an immediate adjustment. Products and categories that are not yet available in your Rakuten shop will be transferred to the Rakuten shop with all available data at Afterbuy.
For existing products and categories, you can flexibly configure the data that you want to update.

3.2.1 Base settings

Limitation of the products to be considered
With this option you have the possibility to exclude products from the matching according to the product levels of Afterbuy. If you do not activate them, all products will be taken into account in the matching.

Limitation of the categories to be considered
With this option, you can exclude categories from the match based on the category level of Afterbuy. To take all categories into account, the hook must be set and the values "0" to Kategorielevel "-1" entered.

Add products
When this option is enabled, new products in Afterbuy are also automatically created at Rakuten.
→ This comparison is done three times a day from 8:00, 14:00 and 20:00 pm.

Delete products löschen
If this option is enabled, deleted products in Afterbuy will also be deleted automatically at Rakuten. For security reasons, products at Rakuten are hidden in the first step and only when they are permanently unavailable they will be deleted.

Add Product variants
If this option is selected, product variants in Afterbuy are also automatically created at Rakuten.
→ This comparison is done three times a day from 8:00, 14:00 and 20:00 pm.

Apply Attributes
If this option is enabled, attributes stored in Afterbuy to the products are taken into account and transferred to Rakuten.

Add base prices
If this option is selected, the information stored in Afterbuy is also taken over, which is required to display the base price. These are the quantities contained in the product and their unit.

Merging stocks
If this option is enabled, not only the store stock is transferred from Afterbuy, but the sum of the shop stock and the auction stock.

Take additional images from description
When this option is selected, images from the product description are also taken over from Afterbuy in addition to actual product images.

3.2.2 Adding product data

Adding the product name
If you have stored product names special field at Afterbuy, you can optionally specify in which field this information is located. The product name will then be transferred from the selected field.

Adding brand / manufacturer
If you store information about the manufacturer of the product in a field at Afterbuy, you can specify here in which field this information is located. The manufacturer of the product will then be transferred from this field.

Transfer of delivery time
If you store information about the delivery time of the product in a field at Afterbuy, you can specify here in which field this information is located. The delivery time of the product will then be transferred from this field.

Adding shipping group
If you enter information about the Rakuten Shipping group of the product in a field at Afterbuy, you can specify here in which field this information is located. The shipping group of the product will then be transferred from this field. Please use the number of the shipping group.

Adding Rakuten category
If you store information about the Rakuten category of the product in a field at Afterbuy, you can specify here in which field this information is located. The Rakuten category of the product will then be transferred from this field. Please use the ID of the Rakuten category.

Adding product images
Up to 10 product images are possible at Rakuten. If you have stored product images of the product in specific fields at Afterbuy, you can optionally specify in which fields this information is located. The product images of this product will then be imported from these fields.

3.2.3 Product data updates

You can update automatically the following data:

After you have made the desired settings, please confirm them by clicking on the button "apply".

By clicking on the "Update assortment" button, you can arrange a comparison independently of the automatic synchronisation that is performed three times a day. The update will be executed immediately within a few minutes according to your settings.

4. Notes and FAQ for order Processing

The processing of the orders received at Rakuten is made after the activation of the connection

Just as easy as for orders from other platforms.
INote: Orders can also be cancelled by the dealer or the customer at Rakuten. These are specially marked with the cancellation mark created. Please note that these orders may not be processed further.

When will the order be transferred to Afterbuy?
The order will be sent to Afterbuy immediately. The order will be viewable in Afterbuy with a maximum delay of 15 minutes.

When can the order be shipped
The order may not be sent until it has been approved from Rakuten. Only then is our guarantee that you will not bear any default risk. In the Afterbuy auction overview, you recognize this by the existing date in the Paid field.
For most payment methods, Rakuten approves immediately and the order is transmitted to Afterbuy with a maximum delay of 15 minutes.
In individual cases, especially in prepaid payment method, the release is delayed. The order in Afterbuy is updated immediately after approval at Rakuten and the date is set in the "Paid" field. The maximum delay in delivery is 15 minutes.

When will the delivery be sent to Rakuten
The information about the shipment is taken over by Rakuten with a maximum delay of 15 minutes. Note that hidden purchase orders at Afterbuy are not visible for Rakuten. For safety, we therefore recommend not to immediately hide orders that have been shipped.

How can I tell Rakuten a return
This is not yet possible via the connection to Afterbuy. Please enter the details of the return in the order administration in your shop management.

How can I Rakuten a cancellation/return
This is not yet possible via the connection to Afterbuy. Please enter the details of the return in the order administration in your shop management.

Due to the processing of payments by Rakuten, invoices must be provided with notes that make the customer aware of this. In particular, in the invoice payment method, it must be ensured that the customer receives the correct information to settle the invoice.

The following addition must therefore be inserted in the invoice template of Afterbuy. Please note the HTML formatting in your invoice template, as this example does not refer to the HTML code:
